3. DO NOT email us to find your replacement if you/your swimmer has decided not to attend conference weekend. At this time, all volunteer information has been submitted to the conference and we are unable to make adjustments. It is your responsibility to find a RELIABLE and CAPABLE replacement if you are unable to fulfill this requirement and then communicate that information to us. 

 Do email the coaches to let them know of swimmer scratches please. 

Attached to this email is the document with all the volunteer jobs. Sessions are as follow: Saturday morning session (10 and under swimmers), Saturday afternoon session (11 and older swimmers), and Sunday session (relays and qualifiers) and a Map of the Conference Venue (Pinnacle Pool) Please look over these carefully and make a note of your family commitment. Please know that EVERY effort was made to accommodate those who communicated a specific need as well as taking into consideration the events that your swimmers are participating in. This is a giant puzzle and as such, multiple hours were spent on all the sorting and placing.

• These jobs were assigned TO US by the conference. It looks different than a typical dual meet so you will see some tasks that are not typical for the regular season.

• PLEASE NOTE YOUR CHECK-IN LOCATION - Those highlighted in yellow check in at the Conference volunteer tent noted on the map. Everyone else will check in at our tent. We'll have an area in our tent similar to regular meets for you to sign in as well.

• What's a Tent Parent?? It's an early clerk of course step. You will gather swimmers in the KTST tent and you will walk them from our tent to the clerk of course. You'll see the delineation by looking at your "location" on the documents. Each parent will be responsible for one age group, so you will be taking the same swimmers over and over again.  PLEASE WALK SWIMMERS TO CLERK OF COURSE AND DO NOT LEAVE THEM UNTIL THEY ARE SETTLED IN CHAIRS!
• Tent parents will be provided with bags for shoes in the event the swimmers prefer to keep shoes on for the walk to clerk of course (asphalt might be hot, or get feet all black - it's fresh) and then bring the bag back once the swimmers are in their seats. Swimmers will exit on the spectator side of the pool and will be able to use the sidewalk to return to the tent, with only a small section of blacktop to make it across).
• "Communication Parent" is a new role - sometimes we can't hear the announcer announcing events, so periodically we will need someone to go up near the pool deck (near Clerk of Course or wherever is best) to check and see what event they're on and text that information back to the head tent parent.

• Nearly everyone will have some sort of officials/timers/tent parent/etc. meeting. PLEASE listen for these times and locations as they can change. We have tried to indicate meeting times if at all possible with the information we currently have. Please see the attached Conference Timeline at the bottom of the email.

• Please show up ready to serve our kids. Bring your coffee, your carbonation, whatever gets you moving in the morning. Wear smart shoes! Bring your sunglasses, your neck fans, cooling towels, whatever it takes. The kids are so excited for this, let's be excited with them!
• Be ready for weather delays - this weekend has the potential to end up as stop and go for conference events if there are storms.

There will be board members present in all sessions that you can go to with questions that arise. Amanda Dodd and Hanna Hostetler will be at the Saturday Morning Session as point people for us, and Terri Cook and Amy Ortiz will be at the Saturday Afternoon/Evening Session. We will all be there on Sunday!
